Session Chair Instructions

The ISAP2022 conference is operating in a hybrid mode with all on-site presentation sessions, all on-line presentation sessions and sessions consisting of on-site presentations followed by on-line presentations.

All on-site sessions

  • Proceed as normal.
  • You room coordinator will give you your printed session sheets a the start of the session with abstracts and presenter bios (if provided by the presenter).
  • The room coordinator will manage the report sheet (presenter sign-off after presentation).
  • You are responsible for:
    • Introducing the session
    • Introducing each speaker
    • Keeping to time
      • Presentations should start at the scheduled time (not before), even if the previous presenter finishes early.
      • In case of “no show”, the session chair should call a break until then next scheduled presentation time.
    • Prompting questions
    • Thanking the speaker
  • The session will be broadcast live via zoom. Zoom questions will come via chat and will be relayed to you by the room coordinator.

All on-line session

  • Enter the appropriate zoom room at least 10 minutes before your session
  • Rename yourself for zoom to
    • session_CHAIR_your_name
    • e.g. CS3-I_CHAIR_Myeongha_Hwang 
  • Access the on-line program https://isap2022.org/program/ to get details of the papers in your session, the abstracts and the speaker bios.
  • At the start of the session the room coordinator will enable your mic.
  • Introduce the speaker as normal.
  • The room coordiantor will then enable the presenters mic and allow them to share their screen.
  • You are responsible for:
    • Introducing the session
    • Introducing each speaker
    • Keeping to time
      • Presentations should start at the scheduled time (not before), even if the previous presenter finishes early.
      • In case of “no show”, the session chair should call a break until then next scheduled presentation time.
    • Prompting questions
    • Thanking the speaker
  • The session will be broadcast live via zoom.
  • Zoom questions will come via or via voice.
    • Participants are muted until they raise their zoom hand and are enabled by the room coordinator.
  • The room coordinator will disable the previous presenters mic and screen share after you have thanked them.
  • The room coordinator will enable the new presenters mic and screen share when you introduce them.
  • The room coordinator will manage the session sheets and report sheets.

Hybrid session

  • All hybrid sessions start with the on-site in-person presentations.
  • Proceed as per “All on-site” above.
  • Once the on-site presentations are concluded the room coordinator will adjust the room audio configuration for on-line presentations
  • During the on-line presentations the room coordinator will remain at the lectern managing the zoom session on the presentation laptop.
  • Introduce the first on-line presentar from the printed session sheet
  • The room coordinator will enable their microphone and their screen share
  • The on-line presenters audio will come out on the room PA system and their screen will be shown on the data projector
  • To prevent feedback the room audio does not go back to the on-line session so when it is question time:
    • The room coordinator will relay questions from the room to the presenter via chat
    • The presenter will respond by voice
    • On-line questions will be by voice and the room coordinator will enable questioners microphones when they raise their zoom hand.
  • You are responsible for:
